Our Booking Terms and Conditions
Please take the time to read and understand the conditions of booking a retreat with Women of Water.
Deposits
A non-refundable deposit of $500 AUD is required for your booking to be confirmed. If your booking is made within 90 days of the retreat start date, the full amount is payable at the time of booking, which includes your non-refundable deposit.
Payments
Payment of the balance for the retreat is due 90 days prior to the retreat start date unless otherwise noted. If payment of the balance is not received by the due date, Women of Water reserves the right to treat your booking as cancelled.
All retreat prices are quoted and payable in Australian dollars (AUD). Women of Water is not responsible for any fees incurred due to currency exchange or fees charged by your bank or credit card for processing funds in another currency.
Participants are responsible for all extra services not included in the retreat package.
By paying your deposit, or by paying the full amount for your retreat/event/workshop, you agree and accept our Booking Terms and Conditions.
Passport and Visa
You must carry a valid passport and have obtained all appropriate visas, permits, and certificates for the countries you will visit during your trip. Your passport must be valid for at least 6 months beyond the duration of the trip. It is your responsibility to ensure that you possess the correct visas, permits, and certificates for your trip. Women of Water is not responsible if you are refused entry to a country because of incorrect passport, visa, or other travel documentation.
Participants must be at least 18 years or older to attend Women of Water’s group retreats, events, or workshops.
Airfare
All Women of Water retreats do not include national or international airfares unless otherwise stated. We strongly recommend you wait until the retreat is confirmed before booking airfare or making any non-refundable travel arrangements.
Travel Insurance
Travel insurance is strongly recommended for all participants, and if purchased, should be taken out at the time of booking. Your travel insurance should provide cover against personal accident, death, medical expenses, and emergency repatriation with a recommended minimum coverage of $200,000 AUD. Women of Water strongly recommends it also cover cancellation, curtailment, and any other expenses that might arise due to loss, damage, injury, illness, or any situation preventing your participation in the retreat.
Participants must obtain comprehensive travel insurance or have medical insurance to attend our retreats, workshops, or events, including but not limited to coverage for medical expenses, evacuation charges, force majeure events, and trip cancellations.
Participants must provide Women of Water with full insurance details at the time of final payment. Failure to provide these documents may result in your booking being cancelled, and your non-refundable deposit being forfeited. It is the participant’s responsibility to provide these documents and ensure they are received by Women of Water.
Right to Refuse Service
Women of Water and retreat organizers reserve the right to accept, decline, or retain any person as a participant at the retreat at any time without liability and without any obligation to pay a refund or any other amount. The organizers take no responsibility or liability for any participant who leaves the retreat prior to its conclusion or for any activity undertaken by a participant that is not included in the retreat’s schedule.
Cancellation Due to Booking Numbers
Women of Water reserves the right to cancel any retreat prior to departure if there are too few people booked. In this case, you will receive a full refund of all payments made. You will not be entitled to claim additional amounts or seek compensation for any injury, loss, expenses, or damage (either direct or consequential) or for any loss of time or inconvenience as a result of such cancellation (including, but not limited to, visa fees, passport expenses, flights, flight cancellation fees, and vaccination costs). Women of Water strongly recommends purchasing travel insurance.
In the event of a refund, Women of Water is not responsible for fluctuations in currency exchange rates and will refund in Australian dollars via the payment method used.
Changes
Women of Water reserves the right to make changes to any aspect of the retreat if, at their absolute discretion, it is necessary to do so due to hazardous or dangerous conditions, adverse conditions (e.g., weather, political, military, terrorist), or any other reasons considered necessary by Women of Water.
If the designated facilitator is unable to lead the activities for any reason, Women of Water will change and adjust the schedule accordingly. In the event of any change, postponement, cancellation, or delay, you acknowledge that you will have no right to refund of the retreat price in whole or in part and no right to claim compensation for any injury, loss or damage or other additional expenses incurred by virtue of the change, modification, cancellation, postponement or delay.
In cases where Women of Water is unable to provide parts of the retreat services as described due to unforeseen events within our control, participants may be eligible for a partial refund or alternative arrangements. This does not apply to services affected by weather or other force majeure events outside our control, as outlined in the Force Majeure section.
Cancellations by Participant
If you as a participant need to cancel for any reason, including but not limited to bad weather, natural disasters, acts of terrorism, flight delays, illness, COVID restrictions, or personal emergencies, the policy is as follows:
- The $500 deposit will not be refunded.
- If you cancel more than 90 days in advance of the retreat start date, a full refund (minus the non-refundable deposit) will be provided.
- If you cancel within 90 days of the retreat start date, no refund will be given.
- If the participant has to leave before the conclusion of the retreat, refunds will not be given for the unused portion of the trip. No refunds will be provided for missed excursions, meals, yoga classes, workshops, or other activities.
All cancellations must be submitted in writing to connect@women-of-water.com. It is the participant’s responsibility to ensure the cancellation notice is received and confirmed by Women of Water.
If you wish to transfer your booking to another participant, this must be requested in writing to connect@women-of-water.com and is subject to written approval.
Force Majeure
If Women of Water and the retreat leader are prevented from performing their obligations due to acts of God, strikes, pandemics, trade disputes, weather, breakdowns, transport interruptions, government actions, acts of war or terrorism, or any other cause outside their control, Women of Water may cancel or postpone the retreat without liability.
Women of Water reserves the right to cancel any retreat due to government travel warnings. In such cases, Women of Water is under no liability and recommends you obtain comprehensive travel insurance.
Foreign Travel Waiver
I acknowledge that travel to foreign countries may involve risks not known to me or Women of Water, retreat leaders, or their affiliates. These risks may not be reasonably foreseeable and are not normally associated with travel. I knowingly and voluntarily assume all risks associated with such travel.
Assumption of Risk
I acknowledge the inherent risks associated with retreat activities, including but not limited to yoga, surfing, nature excursions, and foreign travel. I understand these risks may involve injury, death, or property damage, and I voluntarily assume these risks.
Release of Liability
I waive and release all claims against Women of Water and its affiliates for any injury, loss, damage, or expense arising from participation in the retreat. A separate Liability Waiver to be submitted prior to the start of the retreat.
Indemnification and Hold Harmless
I agree to defend, indemnify, and hold harmless Women of Water and its affiliates for any claims, losses, or liabilities arising from my participation in the retreat.
Modification of Program
I understand that Women of Water reserves the right to modify or cancel the retreat schedule due to remoteness, local customs, weather, or other conditions.
Use of Pictures and Videos
By attending a Women of Water retreat, I grant permission to use photos and videos of me for promotional purposes unless I opt out in writing before the retreat.
